Folder menu details

The Folder menu contains commands for working with a single folder or a selection of folders. It is only visible when at least one folder is selected.

The following table briefly describes each command on the Folder menu. Refer to topics elsewhere in this guide for details.

Folder menu commands
Command Description

Document Workflow

Displays a submenu listing the workflow transitions available for the documents contained within the selected folder. The available transitions will be a subset of those from the Quick Change, working copies, workflow definitions, and document type workflow types, depending on the configuration of the vault and the selected document type. For more information, see Routing a document in a workflow.

Assign to Work Area

Creates a copy of the documents contained in the selected folder into a work area you select and locks the source documents in the Main area. Does not create a folder in the work area. Available only when at least one active work area exists. For more information, see Assigning a document to a work area.

Change Subscription

Shows the Change Subscription dialog box with which you can subscribe to the selected document as described in Subscribing to documents.

Unlock from Workspace

Unlocks all documents contained within the selected folder that are locked in your local workspace. For more information, see Locking and unlocking documents.

Sync Workspace

Synchronizes all documents contained within the selected folder to the (local or shared) workspace with the latest vault revisions. For more information, see Manually synchronizing the Local Workspace.

Lock Documents and Sync Workspace

Prepares the (local or shared) workspace for offline work by downloading the folder and all of the documents it contains. For more information, see Manually synchronizing the Local Workspace.

Add to Briefcase

Adds the documents contained within the selected folder to an existing briefcase you select. For more information, see Adding documents to a briefcase.

Import Briefcase

Imports the documents contained within an existing briefcase you select into the current folder. For more information, see Importing documents from a briefcase.

Change Folder Type

Displays a list of folder types in the current vault from which to select a new folder type for the selected folder.

Change Document Type

Displays a list of document types in the current vault from which to select a new document type for all documents contained in the selected folder. For more information, see Changing a document’s type.

Issue New File Name

Recalculates the file names of all documents contained in the selected folder according to their document types. For more information, see Issuing a new file name.

Refresh Thumbnail

Regenerates the thumbnail images for all documents contained in the selected folder.

Build Report

Displays a list of available report definitions from which to build a report containing information about all documents contained in the selected folder. cleared if no report definitions exist. For more information, see Building a report.

Delete

Deletes all documents contained in the selected folder. For more information, see Deleting and undeleting documents and folders.

Undelete

Displays a list of documents that have been deleted from the current folder. Deleted documents must have been released in the vault at least once in order to be undeleted. For more information, see Deleting and undeleting documents and folders.

Assign Roles

Displays a list of role assignments for the current folder. Users with the Assign Roles privilege may change the Inherit from parent folder option and assign roles to groups and other users with respect to this folder and all its subfolders. For more information, see Assigning security roles to a folder.

Properties

Displays the property pages of the selected folder in a new resizable window. Useful if the property page pane is cleared. For more information, see Viewing and editing properties.

Note    Your ability to access and run any command depends on your security role memberships.
